COVID-19 Policies and Procedures
In order to hold an amazing conference that is safe for all, we are complying with the COVID-19 precautions set by the State of California and the City of Palm Springs.
Although we are not requiring proof of a negative COVID-19 test, we are taking the following precautions:
All facilities being used for the conference fully comply with rules set by the State of California and the City of Palm Springs. All high touch areas will be cleaned regularly by staff. The ventilation systems in each meeting room meet and/or exceed the state and federal guidelines.
Should circumstances change with regards to city, state, and/or federal guidance regarding masking, testing, and/or vaccination requirements, CMC-South reserves the right to update our policies and procedures to align with these guidelines. In the event of changes, we will update this announcement, our website, and communicate these changes to all attendees, speaker, and exhibitors.

- We encourage all attendees, speakers, and exhibitors to take a COVID-19 test the day before attending the conference.
- If an attendee, speaker, or exhibitor have symptoms and/or test positive for COVID-19, please do not come to the conference and contact us.
- We encourage all attendees, speakers, and exhibitors to have a mask. There will be some masks available at the conference.
- We encourage all attendees, speakers, and exhibitors to wear a mask while indoors.
- We encourage all attendees, speakers, and exhibitors to respect personal space and practice physical distancing where appropriate.
- We will monitor the attendance in each meeting room and capacities will be enforced.

Badges & Booth Check-In

Badge Etiquette
Booth Check-In
- Similar to 2021, we are having each exhibitor check in with the Exhibits Committee to pickup their badge. Please bring a current photo id with you at time of check in.
- Badges will be available for pickup starting at 2:00PM and ending 7:00PM on Thursday (November 3rd). The Exhibits Committee will also be available at 7:00AM Friday (November 4th) and throughout the conference for badge pickup. When entering, immediately head to the Exhibits Committee booth (location to be determined) as you must have a badge to be within the Exhibit Hall and Loading spaces.
Badge Etiquette
- An Exhibitor badge is required to load-in, setup, exhibit, disassemble, and load-out the Exhibit Hall. There are no exceptions to this rule. If you have someone who is helping you only move in/out of the Exhibit Hall, please have them check in at the Exhibits Committee booth.
- Badges MUST BE visible and worn at all times while in the Exhibit Hall.
- Exhibitor badges allow access to the Exhibit Hall during exhibition hours, as well as load-in and load-out. If you are a Speaker, or are planning to attend sessions at the conference, you will need to register for a full attendance badge.
Booth Check-In
- The first exhibitor from each organization to check-in will receive a welcome package, containing important conference information. This includes (but is not limited to) conference agreements, show information, important contact information, and checkout procedures for Saturday.

- The Exhibit Hall will be open from 2:00PM on Thursday (November 3rd) for badge pickup and Load-In time.
- After you have picked up your badge, you are free to start setting up your booth space.
- The Exhibit Hall will remain open until 7:00PM Thursday night; it will re-open Friday morning at 7:00AM.
- As a safety measure, no freight will be moved while the Exhibit Hall is open to attendees. Please refer to Innovative Expo's policies regarding movement of materials within the Exhibit Hall.
Load-Out
- The Exhibit Hall will close to attendees at 3:00PM on Saturday (November 5th).
- Once the Hall is cleared of all attendees, Innovative Expo and Exhibitors may start disassembling their booths and moving freight out of the Exhibit Hall.
- The cutoff window for moving out of the Exhibit Hall is 6:00PM. Innovative Expo will begin charging CMC-South for overtime. Any Exhibitor(s) left on the floor will be responsible for covering the cost of those overtime charges.
Lead Retrieval
Price Structure
Showcare's pricing structure depends on two factors: (1) the number of licenses needed; and (2) when you purchase those licenses. The pricing structure is as follows:
Raffle Participants
If you are participating in the Exhibit Hall raffle, you are entitled to one complementary license for lead retrieval. If you have not received your complementary license (or credit towards it), please contact us via email.
Showcare's pricing structure depends on two factors: (1) the number of licenses needed; and (2) when you purchase those licenses. The pricing structure is as follows:
- Before November 01:
- $250 for first license;
- $200 for each additional license.
- On or after November 01:
- $300 for first license;
- $250 for each additional license.
Raffle Participants
If you are participating in the Exhibit Hall raffle, you are entitled to one complementary license for lead retrieval. If you have not received your complementary license (or credit towards it), please contact us via email.
Exhibitor Kit

This year, CMC-South is partnering with Innovative Expo to help us with decorating the Exhibit Hall as well as to handle the logistics support for our Exhibitors. Each Exhibitor will receive an email from "service at innovativeexpo dot com" linking you to your own Exhibitor Portal where you can order additional furniture and get shipping information for freight. This portal will also include links for the additional services such as electrical, private wireless access and lead retrieval.

Parking

Cart service will be available to help bring in larger materials. Reminder: Anything that cannot be hand carried into or out of the Exhibit Hall must be handled by Innovative Expo. We encourage you to anticipate your needs and plan accordingly. |
